Artificial intelligence is becoming part of everyday teaching and learning. Educators are using AI to brainstorm lessons, create instructional materials, personalize activities, provide feedback, and save time on administrative work.
But a tool that is easy to access is not necessarily approved—or appropriate—for classroom use.
Before using a new AI tool, teachers should pause and consider five important questions about its purpose, student data practices, age requirements, accuracy, and district approval.

- What instructional purpose will the tool serve?
Start with the learning objective, not the technology.
AI should support a clearly defined instructional or operational need. Before introducing a tool, teachers should be able to explain:
- What problem does this tool help solve?
- How will it support teaching or learning?
- Does it align with curriculum standards and district priorities?
- Does the district already provide an approved tool with similar capabilities?
- Will it improve the student experience—or simply add another platform?
- How will its effectiveness be evaluated?
“AI” is not an instructional purpose by itself. A tool should have a specific role, whether that is helping students generate ideas, supporting differentiated instruction, improving accessibility, or reducing repetitive administrative work.
Beginning with purpose also helps districts reduce unnecessary technology adoption and avoid paying for multiple products that perform similar functions.
- What student or employee data does it collect?
Before entering information into an AI tool, teachers should understand what happens to that information.
Some tools may collect prompts, uploaded documents, account details, usage activity, student work, audio, images, or other personal information. That data may be stored, shared with third parties, or used to improve the vendor’s models.
Teachers should avoid entering sensitive information unless the district has specifically reviewed and approved the tool for that purpose.

- Are students permitted to use the tool?
Many AI tools have age restrictions, account requirements, or parental-consent provisions. A product that adults can use independently may not be appropriate for direct student use.
Before assigning or recommending an AI tool, confirm:
- The minimum age for users
- Whether students must create individual accounts
- Whether parental consent is required
- Whether the district has an agreement with the vendor
- Which grade levels or user groups are approved
- Whether teachers may demonstrate the tool without giving students direct access
- Whether accessibility requirements have been reviewed
- Whether the product contains advertising or public-sharing features
Teachers should not assume that a free tool is approved simply because it is easy to access or because other educators are using it.
If students are not permitted to use a tool directly, the district may allow a teacher-facing use case in which the educator operates the tool and carefully reviews the output before sharing it.
- How will the output be checked for accuracy?
AI-generated content can sound confident while being incomplete, misleading, biased, or incorrect.
Teachers should treat AI output as a draft—not as an authoritative source.
Before sharing AI-generated material with students, educators should:
- Verify facts using reliable sources
- Review citations to confirm they exist and support the content
- Check calculations, dates, quotations, and historical claims
- Look for bias, stereotypes, or missing perspectives
- Evaluate whether the reading level and tone are appropriate
- Confirm alignment with curriculum standards
- Review images for inaccuracies or inappropriate details
- Remove confidential information that may appear in the response
- Apply their own professional judgment
Students also need guidance on evaluating AI output. Classroom use should reinforce critical thinking, source evaluation, transparency, and responsible decision-making.
When appropriate, teachers should clearly communicate when AI helped create instructional content and establish expectations for when students must disclose their own AI use.
- Has the district approved the tool and the intended use?
District approval should be confirmed before an AI tool is introduced to students or used with protected information.
Approval is more than a simple “yes” or “no.” A district may approve a product only for:
- Certain grade levels
- Specific schools or departments
- Teacher use rather than direct student use
- Particular instructional purposes
- Use without entering personally identifiable information
- A limited pilot period
- Specific features within a larger platform
Teachers should check the district’s approved-tools catalog or other official source to determine:
- Whether the tool is approved
- Who is permitted to use it
- What restrictions apply
- How to access it
- Whether training is required
- Who supports it
- How to request a review if it is not listed
If the product has not been reviewed, teachers should follow the district’s formal request process rather than creating accounts or asking students to begin using it independently.
Remember: Existing Tools Can Add New AI Features
AI review should not be limited to brand-new products.
Vendors are rapidly adding AI features to applications districts already use. These updates may introduce new data practices, permissions, functionality, or risks without requiring employees to adopt a separate platform.
When an existing tool adds AI capabilities, districts and educators should ask:
- Is the feature enabled automatically?
- Can it be turned off?
- What data does it access?
- Does it use prompts or uploaded content to train models?
- Can students use the feature?
- Have the terms of service changed?
- Does the original district approval still cover this new functionality?
A product approved last year may need to be reviewed again if its capabilities or data practices have changed significantly.
A Quick AI Tool Check for Teachers
Before using a new AI tool, pause and confirm:
Purpose: Does it support a clear instructional or operational need?
Data: Do I understand what information it collects, stores, and shares?
Age: Are my students permitted to use it, and is consent required?
Accuracy: Can I review and verify everything it produces?
Approval: Has the district approved both the tool and my intended use?
If any answer is unclear, stop and ask before proceeding.
